Dear Jim
Thank you for your letter of 18 October.
I can confirm that there is no further liability on the
British Music Society than those costs which you have set
out. It did indeed finally transfer that Alan Hacker was
paid for by us, as part of his week in York, but that Jane
Manning required a special fee for her participation.
I hope that that clears everything up now. Thank you for
all your help in presenting these concerts as part of the
Festival.
With all good wishes

Thank you for your letter of 7 September, and my apologies for the
delay in replying but I have been away on holiday.
I am chasing up the Delme's agent, so hopefully you will receive their
invoice very soon. A cheque for £25 for the use of the piano by the
Festival Chorus will be sent to you from the City Treasury within the
next week. Finally, I do not think that I require any more details
to support your guarantee application, and this will receive the
Committee's consideration at its next meeting.

EXPLANATION
YORKSHIRE ARTS ASSOCIATION
GUARANTEE OFFER TO
CORPORATE BODIES
a) A guarantee against loss is a commitment, by the Association,
to underwrite a particular event or series of events up to an
agreed maximun. If, when the final accounts are drawn up an
overall lose is shown, the Association will pay a balancing sum
provided this does not exceed the limit of the offer contained
in the attached letter. Payment cannot be authorised until a
certified balance sheet has been submitted to the office - this
should be forwarded as soon after the performance as possible.
b) A last-call guarantee is sometimes applied when the promoting
organisation has already been offered guarantees from other
sources (i.e. the local authority, NFMS etc.) In this case
the Association's commitment applies only to the deficit
remaining when all other forms of subsidy have been taken into
account. Again, payment cannot be authorised until a certified
balance sheet has been submitted showing, in the income column,
all the other grants or guarantees that have been received or
promised.
CONDITIONS
The offer of financial support contained in the attached letter is
subject to the following conditions:
a) That broadly speaking the estimates as presented be adhered to.
Any radical departure from the forecast of expenditure could
invalidate the offer.
b) That proper acknowledgement of the Association's support be
incorporated in all publicity, press armouncements and other
printed material connected with the activity. The preferred
form of wording is: "This (event) is organised with the support
of the Yorkshire Arts Association".
d)
c) That a full and business-like record be kept of all receipts and
payments connected with the activity and that an authorised copy
of the final balance sheet be submitted by your Honorary
Treasurer (or other responsible official) as soon after the
event (s) as possible.
That if a claim has not been received within three months of
the event taking place the guarantee will have lapsed.

NOTES
a)
b)
The Association presumes that promoters of exhibitions, concerts,
plays etc. supported by YAA subsidy will do all in their power to
publicise the event(s) as widely as possible. The Association's
Magazine "The Month in Yorkshire" offers one obvious (and free)
way of doing so. Organisers are strongly advised to contact the
editor as soon as all the details of time, place, ticket prices etc.
are available. The dead-line for copy is the 10th of the month prior
to the one in which the event is taking place.
Financial support is not limited to societies or organisations
affiliated to the Association. However, as a gesture of
solidarity and good will, organisations in receipt of subsidy
may wish to join the subscription is modest in relation to
the service offered. Membership details will be supplied willingly on
request.

A brief acknowledgement of this letter and acceptance of the
conditions it contains should be sent to the Association to ensure

Raymond Fox, Esq.,

16th September, 1975.
Dear Raymond
As you know, we are still encountering difficulties in getting the projected
series of Saturday morning string quartet recitals off the ground for the
1976 Festival. Following your committee's decision not to accept the
invitation to provide a means of promoting the concerts, we referred the
matter to the Yorkshire Arts Association. I gather that they have since.
written to you, and there would seem to be indications that they would
be able to provide a guarantee against loss on the whole series. In the
light of this information, I would like to ask whether there might be
any possibility of your committee reconsidering this matter.
Much of the information I gave you in my letter of 11th June still stands,
though we have discovered that the Friends' Meeting House would be acousti-
cally unsuitable for such concerts, and we would now suggest that they
be held in the Guildhall. Furthermore, Alan Hacker's dates as a featured
artist have had to be cha ed and he would be playing with the Medici
rather than the Lindsay Quartet.
The maximum cost of fees for the four quartets would be a900, and the two
soloists (Hacker and Jane Manning) should amount to no more than a further
£100. I would not, in fact, be surprised if these costs could be covered
by box office income. A further £50 should be estimated for publicity.
I believe that you were a little concerned about the inclusion of Elisabeth.
Lutyens music. As Miss Lutyens is being termed a featured composer in
the Festival, as it is also the year of her 70th birthday, as she will be
in residence at the University during the next academic year, and, last
but not least, as she is one of the world's most distinguished woman
composers, we would be extremely sorry not to see her music included in
this series. At the same time, I should perhaps point out that we were
not suggesting that the programme should be overloaded with Lutyens: in
fact, I believe I am right in saying that there are few appropriate pieces
available and most of them are short!
I do hope that your committee will be willing to reconsider its decision:
we should very much like to see the B.M.S. involved in this way in the
Festival.
